Logistics and Access
Secure Permissions/Permits: If the shoot is on public property, in a venue, or in a rented space, it is the client's responsibility to secure all necessary permits, access, and insurance waivers before the shoot date.
Finalize Location: Confirm the exact address, specific meeting point, and parking/loading access instructions for the crew.
Key Contact: Designate one on-site decision-maker who is available throughout the duration of the shoot to approve concepts, sign releases, and address any immediate questions.
Contingency Plan: For outdoor shoots, please have a rain/weather backup location or alternative date secured.


Shoot Preparation Checklist: Ensuring a Successful Day
Proper preparation is the single most important factor in the success of your shoot. By addressing the logistical details below, we can maximize our time on site and guarantee a seamless final product.
Talent and Wardrobe
Model/Talent Releases: Ensure all individuals appearing on camera (including employees or staff) have signed the appropriate Model/Talent Release forms provided by Ulloa Art Media prior to the start of the shoot.
Wardrobe: If specific clothing is required, prepare the items well in advance. Clothes should be pressed, clean, and stored on hangers to prevent wrinkles. Advise talent to avoid small patterns (e.g., tight stripes or checks), which can cause visual distortion on camera (moiré).
Hair and Makeup: If professional hair and makeup are required, ensure the artists are booked and have an adequate, well-lit space for preparation on site.


Location and Set Dressing
Scout and Mark Key Shots: If possible, identify and mark the specific areas you wish to feature. Share reference photos or a mood board with our team to align expectations.
Cleanliness: Ensure the location is meticulously clean, as cameras pick up dust, clutter, and imperfections that are invisible to the naked eye. Remove distracting elements like unnecessary signage, wires, or personal items from the shot areas.
Staging: If the project requires specific props, products, or set dressing, have all items ready, fully assembled, and easily accessible for our team upon arrival.
